Grant Manager

We are seeking a highly motivated and skilled Grant Manager to join AI4I – The Italian Research Institute for Artificial Intelligence for Industry.
AI4I performs transformative, application-oriented research in Artificial Intelligence, driving the integration of AI into industrial processes, products, and services across Italy’s manufacturing, aerospace, and automotive sectors.
Location: AI4I, OGR, Turin, Italy
Role Mission
In this role, you will develop and manage the Institute’s portfolio of competitive funding for projects applying Artificial Intelligence to industry. You will coordinate call scouting, proposal development, documentation, and interactions with European Commission Project Officers, working closely with R&D and Project Management to ensure high-quality submissions and project outcomes.
Main Responsibilities
- Call scouting & intelligence: constant monitoring of Horizon Europe, Digital Europe, EIT, national/regional programs (PNRR/FESR), European partnerships; analysis of requirements, TRL, evaluation criteria, and time frame.
- Proposal development: co-writing work plans (WP/Task), Gantt charts, budgets, and resources with R&D/PMO; alignment with templates and policies (Open Science, DMP, ethics, gender).
- Consortia & partners: support for incorporation of consortia, partner search, definition of roles and contributions, collection of letters of support, NDAs, coordination of input and quality of application deliverables.
- Tender documentation: preparation of administrative documents and uploading to the Funding & Tenders Portal (eSubmission).
- Contracts: support for Grant Agreements and Consortium Agreements, in conjunction with the Legal Office.
- Handover and execution: structured handover to Project Managers, support on amendments, periodic/technical reports, review meetings, audit readiness, cost eligibility.
- Stakeholder management: operational interaction with Project Officers, coordination with Administration/Finance, HR, and Communications for visibility and reporting requirements.
- Quality & compliance: verification of compliance with GDPR, research ethics, AI governance, and funder guidelines; maintenance of templates, use case libraries, and KPIs.
Requirements
- Bachelor’s degree in STEM, Economics/Management.
- 4–7 years of experience on EU projects or competitive funds (Horizon/HE, H2020, Digital Europe, PNRR, FESR/FSE), with a track record of successful/eligible proposals.
- Working knowledge of the Funding & Tenders Portal, Model Grant Agreement (MGA), cost rules (personnel, subcontracts, purchases), Open Science, and Data Management Plan.
- Basic skills in AI/ML applied to industry (vision, predictive maintenance, optimization).
- Experience in reporting/auditing and amendment/review management with the EC.
- Excellent command of Excel/budgeting, timeline management, and versioning; attention to detail in documentation.
- Italian and English at least C1 level, excellent technical-administrative writing and presentation skills.
